# How to Map Jobs

## Best Practices for Initial and Bulk Mapping of Facilities, Degrees/Specialties, and Shifts

**Facilities**

To help automate Facility mapping, we recommend enabling the “Auto Acceptance Threshold”.

Go to Account Settings \>\> Type the desired percentage by adding the numeric value (92 or higher recommended initially) and select the “Save” button at the top.

![](https://knowledgebase.jobrobotix.com/hubfs/image-png-Oct-26-2021-09-01-12-78-PM.png)

Auto Mapping is a useful feature available for Facility mapping only. The tool is designed to cut down on manual entry for mapping client locations. It works by assigning a Certainty Score for the closest match available in your ATS. The Auto Acceptance Threshold (shown above) is how you indicate what percentage of certainty you want to assign in order for our system to accept the match on your behalf. For example, if you want to review any match that is less than a 95% match, you would enter “95” in the Auto Acceptance Threshold setting. You should expect that matches 95% and higher will be accepted automatically. Anything less will require your review/approval as explained below in the Auto Mapping process.

***Note:*** this feature is not able to process Facilities that do not have an address assigned to the record in the ATS system. You will first need to have the address added if you want Auto-Mapping to include that Facility. Additionally, if there is a high percentage of duplicate records for Facilities/Clients in you ATS, this tool will not be able to process those records.

To begin Auto-mapping process, go to Staging and review all records that are “Not Imported to my ATS”. This may be accomplished in Bulk Mapping \>\> Facilities as well.

To get started, select Import Status as “Not Imported to my ATS” and then “Get ATS Data” and select “Clients” from dropdown.

![](https://knowledgebase.jobrobotix.com/hubfs/image-png-Oct-26-2021-09-02-48-57-PM.png)

Select “Auto Map” (which only works for Facilities). Click “Facilities” in the dropdown to begin.

New window will pop-up once complete and indicate number of affected records.

![](https://knowledgebase.jobrobotix.com/hubfs/image-png-Oct-26-2021-09-03-25-45-PM.png)

Select “OK” button and window will disappear.

![](https://knowledgebase.jobrobotix.com/hubfs/image-png-Oct-26-2021-09-04-03-18-PM.png)

We also recommend filtering the Mapping Status to “Auto-Mapped”.

Then, refresh the screen to see applied changes.

![](https://knowledgebase.jobrobotix.com/hubfs/image-png-Oct-26-2021-09-04-52-25-PM.png)

The impacted records will be clearly marked with a certainty percentage score and the option to accept that recommended match or decline. Remember, if you set the Auto Accept Threshold, you will ONLY see matches that receive a certainty score below your threshold. The others will be automatically accepted.

Review all the facilities and accept or decline the changes.

After completing the Auto Map process, manually map any remaining records.

**NOTE:** Reminder, keep in mind that ideally, all jobs will be appropriately mapped. There may be a percentage of jobs that are unmapped at any given time, and the goal is to maintain a low percentage on a regular basis.

If unable to resolve, the Facility may need to be loaded into your ATS. Follow the steps below.

- Go to Data Mapping \>\> ATS Data \>\> My Clients to see a list of all Facilities that are currently loaded in your ATS.
- If the Facility is available in the ATS, go back to mapping and type name as exactly as it appears.
- If the Facility is not available and needs to be added, consult with your ATS on workflow for adding a new facility. Once added, use Auto Map option for larger job counts.

***NOTE:*** Option to run a report in JobRobotix to list out all facilities that are unmapped and require attention.

![](https://knowledgebase.jobrobotix.com/hubfs/image-png-Oct-26-2021-09-06-42-93-PM.png)

***NOTE***: Any of the Columns may be sorted. For example, the Number of Jobs column by Descending values to list facilities with the most unmapped jobs at the top of list.

![](https://knowledgebase.jobrobotix.com/hubfs/image-png-Oct-26-2021-09-07-43-11-PM.png)

***NOTE***: For details about positions impacted by mapping, click blue hyperlink in “Number of Jobs” Additionally, this list may be exported and you have option to customize the columns.

**Degrees & Specialties**

Healthcare-related agencies may complete a pre-mapping worksheet for Degrees and Specialties to be pre-loaded into your account, making it available for mapping.

\*\*Your CSM should provide the worksheet, please complete ALL fields for proper upload\*\*

Go to Data Mapping \>\> Bulk Mapping \>\> Degrees & Specialties and adjust the Filters.

![](https://knowledgebase.jobrobotix.com/hubfs/image-png-Oct-26-2021-09-09-19-51-PM.png)

Recommend setting the display results to Show “Not Mapped” and click the refresh button.

Select the “Get ATS Degrees and Specialties” button to ensure you have the most updated data from your ATS. When the process completes, the following window will pop up and you may select “OK” button to continue.

![](https://knowledgebase.jobrobotix.com/hubfs/image-png-Oct-26-2021-09-09-58-86-PM.png)

The results will be listed in the table below for mapping. Map Degree first, then Specialty.

![](https://knowledgebase.jobrobotix.com/hubfs/image-png-Oct-26-2021-09-10-39-37-PM.png)

Select the first item by clicking in the field with the Degree on the far-left side. Begin typing in the “Mapped to” field and find the appropriate match. Then, the Specialty window will load and be displayed on the right side of the screen so you may map.

If unable to map, the Degree or Specialty may need to be loaded into your ATS. Follow the steps below.

- Go to Data Mapping \>\> ATS Data \>\> My Degrees or My Specialties to see a list currently loaded in your ATS.
- If the Degree/Specialty is available in the ATS, go back to mapping and type name as exactly as it appears.
- If the Degree/Specialty is not available and needs to be added, consult with your ATS on workflow for adding a new Degree or Specialty.

***NOTE***: For more information about the specific positions impacted by this mapping, select the blue hyperlink in the “Job Count” column to review positions that fall within that degree/specialty.

![](https://knowledgebase.jobrobotix.com/hubfs/image-png-Oct-26-2021-09-11-36-32-PM.png)

Complete this mapping workflow until all Degrees and Specialties are successfully mapped.

**Shifts**

Go to Data Mapping \>\> Bulk Mapping \>\> Shift and adjust the Filters.

![](https://knowledgebase.jobrobotix.com/hubfs/image-png-Oct-26-2021-09-12-44-85-PM.png)

Recommend changing the setting display results to Show “Not Mapped” instead of “All”.

Select the “Get ATS Shifts” button to ensure you have the most updated data from your ATS. When the process completes, a window will pop up and you may select “OK” button to continue.

The results will be listed in the table below for mapping.

Select the first item by clicking in the “Mapped to” and field begin typing to find the appropriate match.

![](https://knowledgebase.jobrobotix.com/hubfs/image-png-Oct-26-2021-09-13-24-34-PM.png)

Similar to the Facilities and Degrees/Specialties, if unable to map, the Shift may need to be loaded into your ATS. Follow the steps below.

- Go to Data Mapping \>\> ATS Data \>\> My Shifts to see a list currently loaded in your ATS.
- If the Shift is available in the ATS, go back to mapping and type name as exactly as it appears.
- If the Shift is not available and needs to be added, consult with your ATS on workflow for adding a new Shift.

***NOTE***: For more information about the specific positions impacted by this mapping, select the blue hyperlink in the “Job Count” column to review positions that fall within that shift.

Complete this mapping workflow until all Shifts are successfully mapped.

This concludes the instruction for initial and bulk mapping of VMS data to your ATS. See next section for recommended workflow and helpful hints for routine job mapping maintenance.

**Best Practices for Routine Maintenance of Facilities, Degrees/Specialties, and Shifts**

As new jobs flow into JobRobotix, customers should monitor mapping needs by reviewing the Dashboard. Ideally, the number of “OPEN JOBS AVAILABLE” will closely match the number of “JOBS SENT TO YOUR ATS”. As you can see in the example below, the numbers do not closely align. To remedy, select the “JOBS TO BE MAPPED” widget.

![](https://knowledgebase.jobrobotix.com/hubfs/image-png-Oct-26-2021-09-15-02-04-PM.png)

This will automatically open the Staging module to conduct mapping.

In Staging you may review all records that are “Not Imported to my ATS” in the Import Status drop-down.

![](https://knowledgebase.jobrobotix.com/hubfs/image-png-Oct-26-2021-09-15-47-74-PM.png)

Select “Get ATS Data” and select “All” from the drop-down. All records listed in this table will need to have Facility, Degree/Specialty and/or Shift mapped. Red text will indicate which value needs to be mapped and a “Map” hyperlink will be available.

**NOTE**: For Facilities, we recommend running the Auto Map feature first (see instructions in previous section) and then follow the manual workflow/tips suggested below. These steps are similar for Degrees/Specialties and Shifts so use for mapping those values as well.

Select the “Map” hyperlink to begin manually searching/adding the appropriate ATS value for any of the fields; Facility, Degree/Specialty, and/or Shift.

![](https://knowledgebase.jobrobotix.com/hubfs/image-png-Oct-26-2021-09-16-33-88-PM.png)

Notice if we start typing “The” a list will appear, displaying possible results. As you can see, quite a few results appear sometimes, so narrow the list using the following tips.

- Type more of the name to see if an exact match is available
- Alternatively, type a unique part of the name – in this case “Guardian”

Go to Data Mapping \>\> ATS Data \>\> My Clients to see a list of all Facilities that are currently loaded in your ATS. Options to search by Name, Address, City, etc.

![](https://knowledgebase.jobrobotix.com/hs-fs/hubfs/image-png-Oct-26-2021-09-17-19-30-PM.png?width=630&name=image-png-Oct-26-2021-09-17-19-30-PM.png)

- For example, Type “\*The\*” to include all records that contain the name “The” within the Facility name. As you can see, none of the options match “The Guardian Ctr”. You may try entering a different part of the name.
  ![](https://knowledgebase.jobrobotix.com/hubfs/image-png-Oct-26-2021-09-18-30-51-PM.png)

- However, it may be faster/easier to search by City or Zip since names often are not a 1:1 match. For example, “\*02301\*” is the Zip code for The Guardian Ctr and when entered in the search bar, no results appear.
- If unable to find a match, the facility may need to be loaded into your ATS. Follow the steps below.
    - Double check in your ATS to see if the facility exists, and, if so, how it is named.
    - If the Facility is available in the ATS, go back to JobRobotix and type the name as it appears in the ATS to complete manual mapping for this facility.
    - If the Facility is not available and needs to be added, consult with your ATS on workflow for adding a new Facility
    - For some ATSs, you may use the “Add” option to create the new facility directly within JobRobotix . You will need to complete the necessary fields as required by the ATS. Follow the prompts until adding of the location is successful.

Continue this workflow for all the jobs until all unmapped values are matched.

***NOTE:*** In some circumstances, Rules may be created to assist with mapping and further reducing manual entry. For more details, review the technical note and user guide for Business Rules.
